What Needs to Be Set Up for Leave Registration?
To work with leave registration in TimeChimp, a few conditions must be met:
The Leave module must be active in your environment.
Note: This feature is available from the Advanced plan.
A leave activity must be available, such as Vacation or Leave.
Check these settings with your admin if you’re unsure.
Registering Vacation Days as an Employee
You register vacation days in the same place where you normally register hours by simply selecting a different type of activity.
Here’s how:
Go to Register.
In the day view, select the date you want to take leave. In the week view, you can select the week.
Choose the internal project (this is managed by your organization).
Select the appropriate activity, such as Vacation (also managed by your organization).
Enter the number of hours you want to take off.
Click Save.
Your leave request is now registered.
Depending on your organization’s settings, you may need to submit your registration for approval.
Viewing Leave Balance
Both employees and admins can view the current balance of leave hours via the dashboard.
For employees:
Click on your initials in the top right corner.
Select My profile.
You’ll land on your personal dashboard, where your leave balance is shown.
For admins:
Go to HRM.
Click on the relevant employee's name.
View the leave balance on the employee's dashboard.
Approving Vacation Days as a Manager or Admin
If you're responsible for approving leave requests, you can do so easily through the Reports menu.
Follow these steps:
Go to Reports.
Use filters to find the correct entries:
Filter by activity type (e.g., Vacation)
Filter by employee or team
Select the relevant entries.
Click Actions > Approve or Reject (top right).
Approved entries become final and can no longer be changed by the employee.
Rejected entries can be edited and resubmitted.
Need to correct a mistake before approving? Change the status to Open. This allows you to make changes directly without requiring the employee to resubmit.
Frequently Asked Questions
Can I register multiple days at once?
Yes, use the week view to select a range of days and enter the leave hours for each.
Can I cancel a leave request?
If it hasn’t been approved yet, you can edit or delete the registration. If it has already been approved, an admin must first change the status to Open.
Why don’t I see the activity type ‘Vacation’?
The leave type may not be active for your account. Contact your admin to check the setup.
Is the leave balance affected by sick leave?
No, sick leave is tracked separately under the Sick or another absence type and does not affect the vacation balance.
Can I export leave data?
Yes, as an admin, you can filter, group, and export leave registrations in the Overviews or HRM Insights section.
