How to set up leave in TimeChimp?

Manage Leave requests and the registrations of leave in your TimeChimp organization.

One of the internal processes you can set up in TimeChimp is the request and registration of leave and absences. This allows you to get a complete overview of your employees' worked and absent days or hours.

How to set up Leave and Absence

In every new organization created in TimeChimp, several activities are added by default, including leave and absence. You can find these under the gear icon.

Setting up leave and absence should, therefore, almost be fully configured already.

For some companies, it is important to have a detailed insight into leave, for example, to track various types such as parental leave or study leave. This article explains how to create new leave types so that other absence categories can also be tracked.

We recommend registering leave and absence as part of an internal project, which is also set up by default in every TimeChimp environment. You can, of course, create a new project yourself if you prefer. If you want employees to register leave under other projects, simply add the leave/absence activities to those other projects. Otherwise, make sure these are only active on the designated project. Employees can only view activities linked to a project.

Tip: Rename the client 'Internal' to your company name and ensure the leave and absence project has a recognizable name, this makes it even easier for your employees.

Assigning leave balance to your Employees

Every employee is entitled to a certain amount of leave. You can configure this in TimeChimp by editing the employee's profile in HRM. This article supports you with that.

If you've created different leave types, such as parental or study leave, you can add a separate balance to these types, which employees can also view.

Unused leave hours at the end of a year are automatically carried over to the next year.

How can employees request leave?

Registering leave and absence works just like registering other activities that employees log. If an employee takes leave or is absent due to illness, they can use the activity 'Leave' or 'Absence'. to register dthis, or any of the other types and activities you have created for this purpose.

The default leave activity is set up so that when employees register leave, the hours are automatically deducted from their leave balance. Employees can view this balance in their profile, allowing them to see how many leave hours are remaining.

If you want more control and prefer employees to have their hours approved before they can take leave, you use the Approval module.

Note: The approval flow applies to all registrations. It is not possible to use it exclusively for leave.

Employees can submit their hours to the designated approver within the organization, who will then be automatically notified. This keeps everything simple and organized in TimeChimp, reducing the volume of e-mails related to leave requests and approvals.
