How do I create a custom role?

Create personalised role In TimeChimp to give employees specific access to various modules within the system.

With the Roles module, in addition to TimeChimp's four standard roles, you can create a custom role and determine what employees with that role can view and edit. To create a custom role, go to the gear icon > manage > Roles.

The options for personalized roles are divided into different sections. On the right side, you'll see an overview of the available sections. In this article, each toggle indicates what permissions the employee will have within the organization.

Note: Custom roles are available in the Professional package

Registrations

Access all timesheets

  • View: The employee can view all hours logged by colleagues in the system, but cannot filter by employee. They can also create time specifications, export hours, and submit hours for other employees if the approval module is active.

  • Edit: The employee can edit, delete, write-off, and change the status of time entries.

Access all expenses

  • View: The employee can view all expenses logged by colleagues, but cannot filter by employee. They can submit and export expenses.

  • Edit: The employee can edit, delete, finalize, and change the status of expenses.

Access all mileages

  • View: The employee can view all trips registered by colleagues but cannot filter by employee. Trips can be submitted and exported.

  • Edit: The employee can edit, delete, finalize, and change the status of trips to "invoiced" or "open."

Quick Add Features

Customers, projects, tasks, tags, mileage vehicles, and expense products

  • Add: From the registration page, employees can quickly add new clients, projects, activities, labels, vehicles, and products. Basic information such as names, rates, and specific settings can be added depending on the item.

Employee Schedule

  • View: The employee can view the employee schedule for all employees. The gear icon at the top right provides access to shift templates and holidays. Employees can also import data from integrations.

  • Edit: The employee can create, edit, and delete shifts on the employee schedule. Additionally, shift templates can be created and managed via settings.

Projects

All Projects

  • View: The employee has access to the project dashboard, showing the total hours and budget.

  • Edit: The employee can edit the projects, including general settings, invoicing, budgets, activities, and assigned employees.

Access to resource planning

  • View: Employees can view the resource planning for the projects they are a part of.

  • Edit: The project planning can be adjusted, and projects and services can be added.

Project manager

  • View: Employees assigned as project managers have full insight and edit rights into the time logs of all employees within that project. Additionally, they have access to the project dashboard for the linked project where they can view and edit the project settings.

Teams

Employees and Roles

  • View: The employee has access to the HRM dashboard, where all employees and their roles are visible. HRM insights also becomes available.

  • Edit: Employees can be created, edited, locked, deactivated, and their availability can be viewed.

Access to All Teams

  • View: Access to an overview of all teams within the organization.

  • Edit: The employee can edit teams.

Team Manager Role

  • View: As a team manager, the employee has insight into and edit rights for the registrations of their team members and can manage the team.

Financial

Invoices and Uninvoiced Overview

  • View: The employee has access to the invoices module and the uninvoiced overview. Invoices can be opened, sent, downloaded, and exported.

  • Edit: The employee can create, edit, and delete new invoices.

Estimates

  • View: The employee has access to the quotes module and can open, send, download, and export quotes.

  • Edit: The employee can create, edit, and delete quotes.

Financial Data

  • View: The employee has insight into the financial data of employees, projects, and registrations. The 'amount' and 'costs' columns in HRM insights can also be made visible.

Manage

Clients, Vehicles, and Products

  • View: The employee can view and manage clients, vehicles, and products.

  • Edit: Clients, vehicles, and products can be edited and deleted.

Roles and Permissions

  • View: Access to an overview of all roles and permissions.

  • Edit: Roles and permissions can be edited or deleted.

Activities and Labels

  • View: Insight into all activities and labels.

  • Edit: Both activities and labels can be managed.

Client Portals

  • View: Overview of client portals, with the ability to open them and send invitations to contacts.

  • Edit: The employee can edit client portals, including managing projects visible to the client and settings that are displayed.

Time Clocks

  • View: Overview of all time clocks.

  • Edit: Time clocks can be edited and deleted.

Audit Logs

  • View: Insight into the organisation's audit logs.

Settings

Organisation Settings

  • View: Insight into all organisation settings, including modules, integrations, the app center, and subscription information.

  • Edit: The employee can adjust all organisation settings, manage integrations, view API keys, and update subscription settings.

This detailed overview provides comprehensive information on the permissions that can be granted to employees in TimeChimp through the personalized roles module, enabling you to easily determine the level of access that best suits each employee's role and responsibilities.
