Getting started with HRM

Add employees to TimeChimp and manage their contracts

The HRM module in TimeChimp helps you manage employees and teams easily, and provides detailed insights into HR data. In this article, we explain how to use the Employees, Teams and HRM insights tabs, and what functionalities are available.

The employee overview

When you open the HRM module and go to the Employees tab, you’ll see an overview of all active employees in your organization.

Quickly switch between views

At the top of the page, you can switch between different employee views.

  1. Active employees (default view)

  2. Locked employees

  3. Deactivated employees

  4. All employees

Filter and sort data

To find the right employee quickly, you can use filters and sorting options:

  • General filters: Above the table, filter by name, role, or status.

  • Column-specific filters: Filter and sort per column.

  • Click a column title to sort data ascending or descending.

  • Columns can be pinned for better visibility.

Save Views

Want to reuse a specific view? You can save it for later use.

  1. Set your columns and filters as desired.

  2. Click Save view.

  3. Name the view and save it.

This lets you quickly switch between custom views.

Adding New Employees

You can easily add new employees from this page:

  1. Click + New employee.

  2. Fill in the required details, such as:

    • First and last name

    • Email address (optional)

    • Role

    • Language

    • Choose whether to add the employee to all current projects

  3. Click Save.

You can also add multiple employees at once.

Note: The email address can be added later. Once set, only the employee can change it.

Actions Per Employee

Via the three dots next to each employee, you’ll find several options:

  • Open: Click the employee's name or choose “Open” to go to their personal dashboard.

  • Edit employee: Update employee details.

  • Lock/Unlock: Locking a user prevents them from logging in. Their seat remains occupied.

  • Deactivate: Removes the employee from active use (e.g. when offboarding). Their seat becomes available for another user. This action does not affect the number of seats included in your subscription. For more details, go to settings > subscription.

  • Availability: View and edit the employee's availability.

  • Project details: View registrations grouped by project, including total hours, billable hours, expenses, mileage, revenue, and costs.

  • Dashboard: Access a weekly summary including leave, absence, overtime, self-billing invoices, and planning (if enabled).

Bulk Actions for Employees

Use the Actions button to manage multiple employees at once. You can:

  • Show remaining balances (overtime or leave)

Sometimes you want to view the remaining balance of overtime or leave for your employees. Use the 'Show remaining balance' button to instantly see the current balance for both active and deactivated employees up to the current date

  • Add leave balances

  • Send messages

  • Send invitations

  • Change roles

  • Deactivate multiple employees

This saves time when managing larger teams.


Teams Overview

Note: Available in the Advanced plan

In the Teams tab, you’ll find an overview of all teams in your organization. Teams help you add multiple people to projects quickly and assign a team manager who can approve hours.

What can you do here?

  • Export: Download a list of all teams in CSV or Excel.

  • View team members

  • View team managers

  • Create new teams

Managing Teams

Use the three dots next to each team to:

  • Edit team: Change the name or settings.

  • Add new team member to all projects the other team members are in.

  • Adjust team members: Add or remove members.


HRM Insights Tab

The HRM Insights tab provides extensive data per employee for a selected period.

Overview and Filters

  • Choose a time period at the top of the page.

  • Apply filters to refine your data.

  • Use column filters and sorting to customize the view.

  • These settings will be saved when you store the view.

  • Adjust columns by dragging them or using the Columns option on the right.

Column Information

  • Role: The employee's role in the organization.

  • Email: Used for login and communication.

  • Total: Total registered hours for the selected period.

  • Capacity: Percentage of registered hours vs. contract hours. A color indicator shows under- or over-capacity.

  • Contract: Total contract hours for the period.

  • Billable: Total billable hours.

  • Non-billable: Total non-billable hours.

  • Leave: Total leave hours (includes all leave types if applicable).

  • Sick: Total sick hours.

  • Expenses: Total registered expenses.

  • Trips: Total registered mileage.

  • Revenue: Calculated from hours × activity rates (based on project billing settings).

  • Costs: Purchase price (from contract) × number of hours worked.

  • Margin: Revenue – costs; profit per employee over the selected hours.

  • Billability: Percentage of registered hours that are billable.

  • Employee number: HR reference number.

  • Labels: Any assigned employee labels.

Grouping by Teams

You can group data by teams via the three dots in the Teams column.

Note: When data is grouped, you cannot select or export it. To export, disable grouping. Exporting with filters remains possible.

Grouping gives you a team-level overview of total values. No further actions can be taken in this view.


Totals and Customization

Total values are shown at the bottom of each column in the table.


Save Views in Insights Tab

Just like in the main HRM tab, you can save custom views in the Insights tab. If you need to check specific metrics monthly, apply the right filters, select the columns you want, and save the view for future use.
