How to easily integrate Afas Profit with TimeChimp and import customers, create invoices, and generate sales entries.

About AFAS Profit
AFAS Profit is a business software package used to automate and integrate various business processes such as finance, HR, project management, CRM, and logistics. It is an all-in-one solution that helps companies work more efficiently and effectively by reducing manual tasks and improving communication and collaboration between different departments. AFAS Profit is mainly used by medium-sized and large organizations in various sectors, including business services, healthcare, and government.
Activating the Integration
To create a connection with AFAS, go to Settings (gear icon) in the main menu -> App Center and click on the AFAS app. You can activate it for free.
After activation, you will be taken to the settings page. Set your participant number and user token there (which you can obtain from AFAS). Press 'Save', then choose the correct administration and click 'Save' again.
Note: in AFAS, you can create a connector for a user token under Management -> App connector. Make sure to at least grant access to the following connectors:
-ProfitDebtor (GET)
-DDI_Profit_Administraties (GET)
-KnSalesrelationOrg (UPDATE)
-FbDirectInvoice (UPDATE)
-FiEntries (UPDATE)
Additionally, in AFAS, under the User token tab of the app connector, you can create a new token. Copy the full token (including <token></token>) and paste it into the TimeChimp settings.
Items
You can create items in AFAS, so that the invoice lines linked to them are directly assigned to the correct revenue account.
In TimeChimp, you can choose a default item on the AFAS settings page. All bookings will then default to this code.
You can also link an item to an activity or expense category (in Management). When you register hours on this activity and create an invoice from it, the invoice lines will automatically be linked to the correct item.
Importing Customers
When you have a connection with AFAS, you can import all customers from AFAS under Settings > Import. You can then view them under 'Relations' -> Customers. Next to this, you also have the option to automatically import your customers from AFAS every night. You can enable this via the settings > App Center > AFAS.
The connection is made on the customer number field in TimeChimp, which must match the customer number in AFAS.
You can also choose to create your customers in TimeChimp first. When you create an invoice in AFAS, it will automatically create the customer in AFAS if it does not exist.
Creating an Invoice
You can easily create an invoice from all hours, expenses, and rides in AFAS. Go to Overviews -> Hours, select the hours (or expenses/rides), and choose Actions -> Invoice in AFAS.
You can also invoice your customers/projects in AFAS from Overviews -> Unbilled. This can be useful for projects that have a subscription or fixed price as the invoicing method.
Creating a Sales Booking
If you want to use the invoice module of TimeChimp, create your invoice here and, after sending it to the customer, create a sales booking in AFAS.
You can do this under Finance -> Invoices (select the invoices) or from the invoice itself. Then choose Actions -> Create AFAS Sales Booking.
Note that the invoice must be sent before this button becomes visible.
