Here's how to connect AFAS SB to TimeChimp and simplify importing clients and managing invoices or sales transactions.

About AFAS SB
AFAS SB provides a clear overview of all your administrations and automates bookkeeping tasks, saving time, money, and effort. The standard package includes five administrations and two users, making it an attractive solution for small and medium-sized businesses. By integrating TimeChimp with AFAS SB, you can synchronize data such as clients, hours, invoices, and sales entries between the two systems. This article explains how to set up and make the most of the integration.
Activating the Integration
To activate the integration, follow these steps:
In AFAS SB, navigate to "App Center" > TimeChimp > Activate.
You will automatically be redirected to TimeChimp.
Accept the integration in TimeChimp.
Select the administration you wish to link to your TimeChimp environment.
Set up the general ledger account.
Save your changes. Easy does it!
Articles
In AFAS SB, you can create articles to ensure invoice lines are automatically linked to the correct revenue account.
In TimeChimp, you can choose a default article on the settings page of the AFAS SB integration. All registrations will then use this code by default.
Additionally, you can link articles to activities or expense categories under Manage > Tasks. When you log hours for an activity and generate an invoice, the invoice lines will automatically be linked to the correct article.
VAT rates
To ensure smooth invoicing in AFAS SB, VAT Rates must be linked to a code in AFAS SB.
Go to the gear icon in the top right corner > Manage > VAT Rates. Click the three dots next to the VAT rate to edit it and link the relevant code from AFAS SB.
Importing Clients
When connected to AFAS SB, you can import all clients from AFAS SB by navigating to Settings > Import/Export in TimeChimp. These clients will then appear under Relations.
The integration matches clients based on the client number field in TimeChimp, which must correspond with the client number in AFAS SB.
You can also enable nightly automatic imports for clients via Settings > App Center > AFAS SB.
Alternatively, you can create clients in TimeChimp first. When generating an invoice in AFAS, the client will automatically be created in AFAS if it does not already exist.
Creating an Invoice
You can easily create an invoice for all hours, expenses, and trips in AFAS SB.
Go to Reports > Hours, select the relevant hours (or expenses/trips), and choose Actions > Invoice in AFAS SB.
Alternatively, you can invoice clients or projects via Finance > "Uninvoiced" by selecting the items and choosing Actions > Invoice in AFAS SB. This is particularly useful for projects with subscription or fixed-price billing methods.
Creating a Sales Entry
If you use TimeChimp’s invoicing module, you can create invoices in TimeChimp and generate sales entries in AFAS SB after sending the invoice to the client.
Navigate to Finance > Invoices and select the invoices, or open the invoice directly.
Choose Actions > Create Sales Entry in AFAS SB.
Please note that the invoice must be sent before this button becomes visible.
