TimeChimp offers flexible options to adjust the number of seats (user licenses) in your subscription. Managing seats directly impacts your billing, depending on whether you have a monthly or annual subscription. This guide explains how to adjust seats and which steps are required.

Managing seats in TimeChimp involves adding or reducing the number of licenses in your environment. In this article, we explain how these changes affect your invoice. It’s important to make changes in time and to keep the billing cycle in mind.

Reducing Seats

If fewer employees use TimeChimp, you can reduce the number of seats. Follow these steps:

  1. Deactivate unused employees in TimeChimp via HRM: This is a necessary first step, as deactivated employees do not automatically reduce your seat count.

  2. Adjust the number of seats in your subscription: Click the gear icon and go to Settings > Subscription > Edit Seats. Enter the desired lower number of seats.

Timing of changes: With a monthly subscription, the change takes effect from the next month. With an annual subscription, the current number of seats remains active until the end of the billing period. The adjustment takes effect upon renewal.

Adding Seats

Need extra licenses? Follow these steps:

  1. Go to Settings > Subscription and click Edit Seats.

  2. Enter the desired higher number of seats. An invoice will be created for the remaining invoicing period.

  3. Then, add the new employee(s) in HRM.

Important Notes

  • Seat changes can only be made before the renewal date. After renewal, changes cannot be applied retroactively.

  • For annual subscriptions, you can only adjust the number of seats at renewal. No credit notes are issued for reducing seats during an active subscription year.

  • If you want more flexibility to make changes more frequently, a monthly subscription is recommended. With a monthly plan, you can adjust the number of seats every month.
