How to add a leave balance

Add leave balances to your employees so they can view them and register their leave!

In this article, you'll learn how to assign a leave balance to one or more employees, enabling them to register their leave hours or view their available balance in their dashboard.

Assigning Leave Balances

In TimeChimp, leave can be managed easily. Employees can request leave, view their balance, and as an admin, you can clearly monitor the leave status of your team members.

To register and monitor leave correctly, a few basic settings must be configured first. Previous articles explained how to create absence types and how employees can register leave hours against them.

In this article, we'll focus on how to assign a starting leave balance to an employee. Follow these steps:

  1. Go to HRM > Employee

  2. At the end of the employee row, click on the three dots > Edit > Leave

  3. Click + New Leave to enter the starting balance
    For example: as of January 1st, 20xx, add a balance of 200 hours with the description “Leave Hours 20xx”.
    This means the employee can take up to 200 hours of leave in that calendar year.

Then click Add!

The same applies to Absence & Overtime, which you can find in the menu on the left under Leave. If needed, you can add an overtime or absence balance as well.

Assigning Leave Balances in Bulk

TimeChimp allows you to assign leave balances to multiple employees at once. Simply:

  1. Select the employees

  2. Use the ‘Actions’ menu to assign the leave balances to the selected employees.

It’s that simple!
Make sure you’ve added absence types in the Admin section first. Only then will you be able to assign them to employees for registration.

What is a balance correction?


A manual plus or minus on an employee's hours or leave balance. This is not the same as registering actual leave or sick days taken.

What types of balance corrections are there?

  • Leave mutation: vacation, ADV, starting leave balance (choose a leave type)

  • Absence mutation: sick leave, care leave (choose an absence type)

  • Overtime mutation: compensation, payout, or correction of overtime (no type needed)

Where do I find this?
HRM → Employees → open employee → tab Leave, Absence, or Overtime.

How do I add a mutation?

  1. Open the relevant tab

  2. Click Leave mutation, Absence mutation, or Overtime mutation

  3. Select the type

  4. Choose Add or Subtract

  5. Fill in date, hours, and description

  6. Click Add

Frequently Asked Questions

  • How do I edit or delete a mutation?
    In the table on the same tab, via the pencil or trash icon.

  • What's the difference between add and subtract?
    Add increases the balance, subtract decreases it. Hours can appear as negative in the table as a result.

  • Is this the same as registering leave or absence?
    No. Registering leave/absence is actual time taken on a specific day. A balance correction is a manual balance adjustment.

  • Is this the same as adding leave balance (bulk)?
    No. Bulk adding applies the same hours to multiple employees at once.

  • Is this the same as contract or leave accrual?
    No. Contract/leave accrual is the automatic build-up of balance.
