You added employees, great! In this article you can read what is possible in the HRM tab. Which insights you can obtain, which possible settings and what you should pay attention to.


A step-by-step guide to managing your team

What can and do you want to manage?


- The general data of the employee (s) (such as role, labels, etc.)

- The contract and the schedule

- Sending notifications from TimeChimp


- Monitoring the leave

- Monitoring the overtime


- Linking employee (s) to Projects

- Add attachments

Go to HRM > employees > end of line employee the three dots > edit. A pop-up window will now open and you can set the following points:

1. General: here you enter the general details of the employee, such as the employee number and name.

- Roles: set which role and thus the rights of the employee. Would you like to know more about the rights per role? Read that here.

- Labels: link tags to employees to filter quickly and efficiently in reports and HRM Click here for more information.

Note! After creating the employee, the employee can only change his / her e-mail address himself / herself at "My profile"> "My settings".

2. Contract: the contract in TimeChimp is not an employee / employer contract, but how many hours must an employee register per week from which date in TimeChimp. Based on this contract, overtime is calculated, we send notifications and the number of available hours is displayed in the planning.

Here you also enter the purchase and sales hourly rate. These rates come back when you work with projects in TimeChimp. It is possible to set the invoicing method to employee hourly rate. You can read more about this here.

Note! The start date of a contract must be on a Monday and the end date on a Sunday.

Note! The start date of the contract means the moment of registration in TimeChimp.

Tip: Is the employee switching to a different contract, with more hours per week, for example? Make sure that the end date of the old contract and the start date of the new contract are consecutive.

3. Schedule: you set a different schedule at employee level. This schedule differs from the standard schedule set in the general settings.

Based on this schedule, the availability of the employee is calculated in the "Planning" functionality in TimeChimp.

Example: an employee has a 32-hour contract and works 8 hours a day from Monday to Thursday. If you schedule the employee Monday to Friday, the 32 hours will be spread over 5 days. This means that the employee is scheduled for 6.4 hours per day.

4. Leave: here you set how many hours of leave an employee has for a calendar year. In this article you can read more about the settings and how the monitoring of leave works.

5. Overtime: here you can make changes that affect the overtime balance. In this article you can read more about monitoring and calculating overtime.

6. Notifications: make registering a habit! Help employees remember to register by means of a notification. Plus, make sure that all types of hours (incl. leave and illness) are registered for even more insight.

- Not registered? The employee receives an email on Monday morning that no hours have been registered.

- Not fulfilled the contract hours? The employee will receive an email on Monday morning that fewer hours have been registered than the number of set contract hours.

Do you work with the "Approve" functionality?

- Not submitted? The employee will receive on Monday morning that not all hours have (yet) been submitted for approval.

Note! Notifications are only sent on a weekly basis.

Note! It is not possible for an employee to turn off these notifications.

7. Projects: do you work with the "Projects" functionality? Then you (dis) link the employee to projects quickly and clearly.

Tip: do you want employees to only see projects to which they are linked? This is to keep customers and projects separate between employees. Then set in the General settings (gear wheel)> genera l> that registering on a project is required.

8. Attachments: link attachments to the employee such as the contract, written agreements, etc.

Note! Note that project managers with the additional right to manage all projects also have access to this data.
